Outsourced Medical Billing · United States

Outsourced medical billing services, without losing control of your revenue.

Outsourcing your medical billing should remove work, not visibility. ASP-RCM layers in alongside your team, works inside your existing systems, and puts a named senior partner and written SLAs behind the result.

The transition
90 days.
No system change.
Your team stays in place.
We layer in, then written SLAs become binding by day 90.
Why and when practices outsource

Six signs it is time to outsource medical billing.

Practices rarely outsource because billing is easy to hand off. They outsource because the in-house model stopped keeping up. If two or more of these sound familiar, it is worth a conversation.

SIGN 01
A/R keeps climbing

Older balances grow every month because follow-up is worked by count, not by dollars.

SIGN 02
The same denials repeat

Appeals get filed, but nobody fixes the root cause upstream, so the denial comes back next month.

SIGN 03
Coverage gaps

Vacation, sick days and turnover leave claims unworked, and every new hire takes months to ramp.

SIGN 04
Specialty rules outpace the team

Authorization-heavy work like ABA and behavioral health punishes generalist billers.

SIGN 05
Growth without enrollment

New providers and locations wait on credentialing while claims for their visits sit.

SIGN 06
No clear monthly picture

Leadership cannot see clean-claim rate, denial rate or days in A/R without building a spreadsheet.

What transfers and what stays

We take the back office. You keep the keys.

Outsourcing is not all or nothing. Most engagements layer in: your team keeps the work closest to patients, and we run the work that needs depth and consistency. You can also start with a single module, such as denials or A/R cleanup, and expand later.

WHAT MOVES TO ASP-RCM

The work that drives cash.

Coding, claim scrubbing and submission, payment posting, denial management and appeals, A/R follow-up, patient statements, credentialing if you want it, and the monthly CFO scorecard. A dedicated pod with a senior lead, certified coders, an A/R specialist and a denial analyst runs it for you.

WHAT STAYS WITH YOU

Ownership and control.

  • Your systems. We work inside your EHR, PM system and clearinghouse. No migration required.
  • Your front desk. Commonly intake, registration and charge entry stay with your team.
  • Your decisions. Nothing is written off without your sign-off.
  • Your data. Source data stays in your PM system and every report reconciles to it.
The 90-day migration

Onboarding without the chaos.

Most billing transitions go wrong because cash stops while the new vendor learns. Ours runs in phases, with your existing team in place until the pod is ready, and the same senior partner from first call to steady state.

DAY 0-14
Diagnose

A revenue cycle audit on your own data: claims, remits, denials and A/R aging. Recovery targets agreed in writing.

DAY 15-45
Stabilize

Aged A/R work-down, denial backlog clearance, eligibility cleanup and payer contract loading.

DAY 46-75
Transition

Your dedicated pod is named and trained. Workflows are written down and technology is tuned to your payer mix.

DAY 76-90
Steady state

Written SLAs go live. The CFO scorecard and monthly business review begin.

DAY 90+
SLAs in force

Targets are binding. Quarterly reviews with your senior partner keep the plan honest.

Risk controls

The controls your compliance team will ask about.

Handing PHI to an outside company is a real decision. These are the controls already in place, audited by external firms and available for review under NDA. See our security architecture for the technical detail.

HIPAA · HITECH
Business associate, by contract

We sign a BAA with every client at engagement start, with breach notification protocols in place.

SOC 2 TYPE 2
Audited every year

Certified since 2021 and renewed annually by an external firm across security, availability and confidentiality.

ISO 27001
Information security management

A certified information security management system, recertified on schedule.

ENCRYPTION
PHI protected at rest and in transit

Encryption at rest and in transit, role-based access, and an append-only log of PHI access in our platform.

ACCESS
Read-only to start

The initial audit uses one read-only data pull. Nothing changes in your systems before you sign.

CONTRACT
No long lock-in

A standard 12-month term with a 60-day termination clause, and SLAs written into the contract.

How to evaluate a vendor

Five questions to ask any outsourced billing company.

Ask every vendor on your shortlist, including us. The answers tell you more than a demo.

01

Who owns our account after the contract is signed?

Ask for a name, not a team. If the person who sold you disappears after month one, so does accountability.

  • Our answer: a named senior partner, from first call to steady state.
02

Which targets will you put in writing?

Activity metrics such as claims sent and calls made are easy to promise. Outcome metrics are not.

  • Our answer: days in A/R, clean-claim rate, denial rate, cost to collect and cash posted, written within 90 days.
03

Do we have to change systems?

A system change adds months of risk to a billing transition.

  • Our answer: no. We work inside your existing EHR and clearinghouse.
04

Who does the work, and do they know our specialty?

Ask whether staff rotate across clients and specialties, and what credentials the coders hold.

  • Our answer: a dedicated, specialty-matched pod with certified coders that does not rotate.
05

Can we see the paper and leave if it is not working?

Review the contract, the SOW and the termination terms before you talk price.

  • Our answer: sample SOWs on request and a 60-day termination clause.
FAQ

Outsourced medical billing, plainly answered.

Do not see your question? Email [email protected] and a senior partner will reply directly.

What is outsourced medical billing?
Outsourced medical billing means a specialist company runs some or all of your billing work, such as coding, claim submission, denials, A/R follow-up and reporting, inside your existing systems. You manage the relationship and the KPIs instead of managing the billing team.
When does it make sense to outsource medical billing?
The usual signs are A/R that keeps climbing, the same denials repeating, billing staff turnover or coverage gaps, a specialty with heavy authorization or payer rules, and no clear monthly view of performance. Practices collecting under $25M a year almost always save money by outsourcing. Above $50M the answer depends on your in-house tenure and EHR maturity, so we model it both ways in writing.
Will we lose control of our billing if we outsource?
No. You keep your EHR, practice management system, clearinghouse and payer contracts. Nothing is written off without your sign-off, a named senior partner is your single point of contact, and a monthly CFO scorecard shows exactly what moved and why.
How long does the transition take?
Plan on 90 days. Standard onboarding takes 30 to 60 days depending on integration and payer mix. The first two weeks are a diagnostic on your own data, then backlog work-down, then a dedicated pod takes over, and written SLAs become binding by day 90.
What happens to our current billing staff?
Most engagements layer in rather than replace. Commonly your team keeps the front end, such as intake, registration and charge entry, and we run claims, denials, A/R and reporting. How far the scope goes is your decision, not our pitch.
What contract terms should we expect?
Our standard contract is 12 months with a 60-day termination clause. If we are not delivering, you should be able to leave. We share anonymized sample SOWs and our standard contract terms on request so procurement can review the paper early.
